Membership Policies
The most important aspects of your COBALT Collective membership, and the answers to the questions we're asked most often. Tap any policy to read it. If you have any questions, our team is always happy to help.
01Bookings & Attendance
- All classes must be booked through the Octiv app.
- Bookings and cancellations close 30 minutes before the class starts.
- Late cancellations and no-shows will result in that class being deducted from your weekly class allowance.
- Your weekly class allowance does not carry over to the following week.
- Members may only attend the number of classes included in their chosen membership package.
- Classes are subject to coach availability, class capacity, and operational requirements.
02Payments
- Membership fees are collected automatically via secure recurring card payment through the Octiv app (powered by Paystack).
- A R1 card validation transaction is processed when adding a payment card. This is a temporary verification charge and is not a membership fee.
- Members are responsible for ensuring that a valid payment card is linked to their account and that sufficient funds are available on their chosen payment date.
- If a payment fails, a R200 failed payment fee will be charged to the member's account.
- Members with overdue accounts may have their booking privileges and facility access suspended until all outstanding amounts have been settled.
- Membership fees are reviewed annually and are subject to a 6% annual increase.
- If your payment card expires, is replaced, or your banking details change, please update your payment information before your next payment date to avoid failed payments and interruption of your membership.
03Membership Cancellations
- All membership cancellations require a minimum of 30 days' written notice.
- Cancellation requests may be submitted by email, WhatsApp, or by using the 'Request Cancellation' feature available in the Octiv app.
- Your membership will remain active, and membership fees will continue to be payable during the notice period.
Fixed-term memberships (3, 6 & 12 months)
- Fixed-term memberships are a commitment for the duration of the selected agreement.
- Early cancellation requests may be considered in accordance with the terms of your Membership Agreement and applicable consumer protection legislation.
- Where an early cancellation is approved, a cancellation fee equal to 50% of the remaining contract value may apply.
Cancelling your membership may result in the loss of any Launch Offer pricing or other promotional rates linked to your membership. Should you wish to rejoin in the future, the membership rates, terms, and promotions available at that time will apply.
04Membership Freezes
- Memberships may only be frozen in full calendar months.
- The minimum freeze period is 2 consecutive months.
- Freeze requests require a minimum of 30 days' written notice.
- Freeze requests may be submitted by email or WhatsApp.
- All freeze requests are subject to approval.
- Memberships may not be frozen while an account is in arrears.
- Your membership will automatically resume at the end of the approved freeze period unless alternative arrangements have been made in writing.
- Once a freeze request has been approved, no administration fee will be charged for the approved freeze period.
05Punch Cards
- COBALT Collective offers 10-session and 20-session Punch Card options.
- Punch Cards are valid for 3 months from the date of purchase.
- Punch Card sessions may be used to book any available class through the Octiv app.
- The same booking and cancellation policy applies to Punch Cards as to membership packages. Late cancellations and no-shows will result in that session being deducted from your Punch Card balance.
- Unused sessions expire automatically at the end of the validity period and cannot be extended or refunded.
- Punch Cards are non-transferable and may only be used by the registered purchaser.
06Facility Rules
- Treat fellow members, coaches, staff, and facility equipment with respect at all times.
- Follow the instructions of your coach during all classes and training sessions.
- Return all equipment to its designated place after use.
- Wipe down equipment after use where required and help keep the facility clean and tidy.
- Wear appropriate training attire. Footwear requirements may vary depending on the class or exercise being performed, as directed by your coach.
- Please be mindful of others by arriving on time for class and keeping phone use to a minimum during coached sessions.
- Members are responsible for any damage caused to equipment or the facility through negligence or misuse.
- Any behaviour that is unsafe, abusive, disruptive, or inconsistent with the values of COBALT Collective may result in suspension or termination of membership.
Help us build a stronger community by encouraging, supporting, and respecting those training alongside you. We're all here to get better together.
07General Membership Terms
- Memberships are personal and non-transferable and may not be shared or used by another person.
- Members are responsible for keeping their personal contact details and payment information up to date.
- Members may request to upgrade or downgrade their membership package by contacting COBALT Collective. Changes will take effect in accordance with the terms of your Membership Agreement.
